1. Agreement to these Terms
These Terms of Service (“Terms”) govern your access to and use of Chronacy, including its websites, campaign workspaces, session-processing tools, review tools, published campaign sites, subscriptions, and related services (collectively, the “Service”). The Service is operated by Chronacy LLC (“Chronacy,” “we,” “us,” or “our”). By creating an account, purchasing a subscription, or using the Service, you agree to these Terms and our Privacy Policy and Cookie Policy.
2. Eligibility and accounts
You must be at least 18 years old and legally capable of entering a binding agreement to use the Service. You agree to provide accurate account information, keep it current, protect your login credentials, and notify us promptly if you believe your account has been accessed without authorization. You are responsible for activity performed through your account unless applicable law provides otherwise.
3. Your campaign material
You retain ownership of the recordings, transcripts, campaign lore, characters, settings, artwork, maps, notes, and other material you upload or create through the Service (“Customer Content”). You grant Chronacy a limited, non-exclusive, worldwide license to host, copy, process, transcribe, transform, display, and transmit Customer Content only as reasonably necessary to provide, secure, maintain, and improve the Service you request. This license does not transfer ownership of your Customer Content to Chronacy.
You represent that you have the rights and permissions necessary to provide Customer Content to the Service. You may not upload material that unlawfully infringes another person’s intellectual-property, privacy, publicity, or other rights.
4. Recording consent
Chronacy processes audio recordings of tabletop sessions. You are responsible for giving all legally required notices and obtaining all legally required permissions or consents from every person whose voice or information is recorded, uploaded, transcribed, analyzed, or published. Recording and privacy laws vary by location; Chronacy does not determine whether your recording is lawful.
5. AI-assisted processing and review
The Service uses automated and artificial-intelligence systems to transcribe recordings, draft recaps and chronicle chapters, reconcile names and lore, propose campaign records, identify relationships and story threads, and generate or organize other campaign material. Automated output may be incomplete, inaccurate, or unsuitable for your campaign. You are responsible for reviewing output before accepting, relying on, or publishing it.
Chronacy is designed to keep uncertain material visible for review and to give the Game Master control over campaign canon. Features such as confidence thresholds or automatic publishing do not eliminate your responsibility for the settings you choose or the material published through your account.
6. Public campaign sites
You control whether eligible campaign material is made public through a player-facing campaign site. When you publish Customer Content, you grant Chronacy a non-exclusive, worldwide, royalty-free license to host, display, and distribute that published content through the Service until you unpublish or delete it, subject to reasonable technical and backup-retention periods.
Public campaign pages may be accessible to people without Chronacy accounts and may be copied, shared, cached, or indexed by search engines. Do not publish confidential information, private personal information, or material you do not have permission to share.
7. Free trial, subscriptions, and billing
The free-trial offer includes one campaign and up to three processing hours for the first recorded session. It does not automatically provide unlimited processing or storage. Any payment requirement, conversion to a paid plan, or recurring charge must be disclosed during signup or checkout.
Paid subscriptions renew monthly until canceled. The price, included active campaign slots, included processing hours, and other plan features shown at checkout form part of your subscription. You authorize our payment processor to charge your selected payment method for recurring fees, taxes, and purchases you approve. You may cancel through the available account controls or by contacting support. Cancellation takes effect at the end of the current paid billing period unless applicable law requires otherwise.
Included processing hours reset each billing cycle, subject to the rollover rules disclosed for your plan. Purchased processing packs remain available until consumed. Pay As You Go processing is optional and may be subject to a customer-selected or account-specific spending limit. Processing is ordinarily consumed in this order: Included, Rollover, Purchased, then Pay As You Go. Additional campaign fees add active campaign capacity but do not add processing hours.
Plan upgrades, downgrades, refunds, credits, and price changes are handled according to the terms shown at purchase and applicable law. Unless required by law or expressly stated otherwise, fees already paid are non-refundable. We will provide advance notice of material subscription price changes before they apply to a future renewal.
8. Campaign archives, exports, and deletion
An archived campaign is read-only, does not consume an active campaign slot, and includes no new recording uploads, transcription, AI analysis, artwork generation, or canonical-record editing while archived. An archive may be reactivated without a reactivation fee when your account has an available active campaign slot. If no slot is available, you may archive another campaign, add a campaign slot, or change plans.
Archive pricing does not promise unlimited retention of original source audio or video. Original-media retention follows the separate retention terms or notices presented by Chronacy. Available export tools may be used to obtain campaign data. You may request deletion of the hosted copy, subject to reasonable security, legal, billing, backup, and fraud-prevention retention requirements described in the Privacy Policy.
9. Acceptable use
You may not use the Service to violate law; infringe or misappropriate rights; record, monitor, impersonate, harass, exploit, or expose another person unlawfully; distribute malware or deceptive content; send spam or phishing messages; bypass access controls or usage limits; probe or disrupt the Service; access another customer’s account or private campaign; scrape or automate access through an interface that does not expressly permit it; or use the Service in a manner that creates unreasonable security or infrastructure risk.
You may not resell, sublicense, white-label, or provide the Service itself to third parties as a competing hosted product without a separate written agreement. This restriction does not prevent a Game Master from using Chronacy in connection with a campaign they run, including a professionally run campaign.
10. Third-party services
Chronacy may rely on third-party providers for payment processing, hosting, storage, transcription, artificial-intelligence processing, email, security, and other operational functions. Stripe processes payment information under its own terms and privacy practices; Chronacy does not store complete payment-card details. Your use of a third-party feature may also be subject to that provider’s terms where disclosed.
11. Chronacy intellectual property
Chronacy and its licensors retain all rights in the Service, including its software, design, branding, documentation, and non-customer content. Subject to these Terms, Chronacy grants you a limited, non-exclusive, non-transferable, revocable right to access and use the Service for its intended purpose. No right is granted to copy, reverse engineer, distribute, or create derivative works from the Service except as permitted by law.
12. Service changes, suspension, and termination
We may modify, suspend, or discontinue features as the Service develops. We may limit or suspend access when reasonably necessary to protect customers, maintain security, prevent abuse, comply with law, address nonpayment, or respond to a material violation of these Terms. When practical, we will provide notice and an opportunity to resolve the issue.
You may stop using the Service and close your account. Account closure, expiration, suspension, or termination may affect access to active and archived campaigns. Export and deletion options are governed by the Service’s available controls, these Terms, and the Privacy Policy.
13. Disclaimers
To the maximum extent permitted by law, the Service is provided “as is” and “as available.” Chronacy does not warrant uninterrupted availability or that transcripts, AI-assisted output, campaign records, generated material, or other results will be complete, accurate, or error-free. Nothing in these Terms excludes warranties or rights that cannot legally be excluded.
14. Limitation of liability
To the maximum extent permitted by law, Chronacy LLC and its officers, employees, contractors, and providers will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for loss of profits, revenue, data, goodwill, or business opportunity arising from the Service. Chronacy’s aggregate liability arising from the Service will not exceed the greater of the amount you paid to Chronacy during the twelve months before the event giving rise to the claim or one hundred U.S. dollars. These limitations do not apply where prohibited by law.
15. Governing law and disputes
These Terms are governed by the laws of the State of South Carolina, U.S.A., without regard to conflict-of-law principles. Any mandatory consumer protections or venue rights that apply to you remain unaffected.
16. Changes to these Terms
We may update these Terms as the Service changes. We will post the updated version and its effective date and will provide additional notice when required by law. If a material change requires renewed consent, we will request it. Continued use after an updated version takes effect constitutes acceptance only to the extent permitted by law.
17. Communications
We may send service-related communications about your account, security, campaigns, processing, billing, or changes to the Service. Marketing messages will include an available opt-out method where required. Opting out of marketing does not prevent necessary service communications.
