1. Scope and who we are
This Privacy Policy explains how Chronacy LLC (“Chronacy,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you use our websites, campaign workspaces, session-processing tools, review tools, published campaign sites, subscriptions, and related services (collectively, the “Service”).
2. Information we collect
Account and contact information. We collect information such as your name, email address, login and account details, and communications with support.
Customer Content. We collect recordings, transcripts, campaign lore, characters, settings, artwork, maps, notes, review decisions, published pages, and other material you upload, create, or direct us to process.
Billing information. Stripe processes payment-card information. Chronacy receives billing, transaction, subscription, and payment-status information but does not store complete payment-card details.
Technical and security information. We may collect IP address, browser and device information, timestamps, authentication events, request logs, and similar data needed to operate, secure, and troubleshoot the Service.
3. How we use information
We use information to create and administer accounts; authenticate users; transcribe and process recordings; draft recaps and campaign material; reconcile names and lore; provide review, publishing, archive, and export tools; process payments; provide support; maintain and improve reliability and security; prevent fraud and abuse; communicate about the Service; and comply with legal obligations.
4. AI-assisted and transcription processing
To provide requested features, Chronacy may send the portions of Customer Content needed for transcription or AI-assisted processing to configured service providers, including OpenAI. Those providers process information on our behalf or under their applicable terms and data-processing commitments.
Chronacy does not use Customer Content to train Chronacy models or general-purpose AI models without your explicit consent. Automated output may be inaccurate, and the Service provides review controls so you can decide what becomes campaign canon.
5. How we disclose information
We may disclose information to vendors that provide hosting, storage, transcription, AI processing, payment processing, email, security, and other operational services; when you direct us to publish or share campaign material; when reasonably necessary to protect users, Chronacy, or the public; in connection with a merger, financing, acquisition, or sale of assets; or when required by law. We do not sell personal information.
6. Public campaign sites
Campaign material you choose to publish may be available to anyone, including people without Chronacy accounts, and may be shared, copied, cached, or indexed by search engines. Do not publish confidential information, private personal information, or material you do not have permission to share.
7. Retention and deletion
We retain account information and Customer Content while needed to provide the Service, including while a campaign is active or archived. Retention of original recordings may depend on the applicable feature, account setting, or notice shown when you upload or archive content. You may use available controls or contact us to request deletion.
Deletion may not be immediate from backups and may be limited where retention is reasonably required for security, fraud prevention, dispute resolution, billing, or legal compliance. We retain financial and transaction records as required by applicable law.
8. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. International processing
Chronacy operates in the United States and may use providers that process information in the United States or other countries. Where required, we use appropriate safeguards for cross-border transfers.
10. Your rights and choices
Depending on where you live, you may have rights to access, correct, export, delete, restrict, or object to certain processing of your personal information, or to appeal a decision about a request. You may update certain information and control campaign publication through the Service. To exercise a privacy right, contact us at the address below. We may need to verify your identity before completing a request.
11. Children
The Service is not intended for anyone under 18, and we do not knowingly collect personal information from children under 18. If you believe a child has provided personal information, contact us so we can investigate and take appropriate action.
12. Changes to this Policy
We may update this Privacy Policy as the Service or applicable law changes. We will post the updated version and effective date and provide additional notice when required.
